1. Introduction
Parishad ("we", "our", or "us") is operated by ETmantra Software Labs Pvt. Ltd.. We run parishad.app, a software-as-a-service platform that professional societies, associations, councils and similar bodies ("Societies") use to run their memberships, websites, payments, committees, events and member communications ("the Platform").
This Privacy Policy explains how we collect, use, disclose and safeguard information when you visit our website or use the Platform, whether as a Society administrator or as a member of a Society. By using the Platform you agree to this Privacy Policy.
2. Information We Collect
2.1 Information you provide
- Account details: name, email address, phone number and password when you register as a Society administrator or as a member.
- Profile details: information a Society asks its members for, such as profession, organisation, city, qualifications and photo.
- Society details: the Society's name, logo, billing address and GST number (for invoicing).
- Payment information: details needed to process subscription, membership and event payments. Card and bank details are handled by our payment processors and are not stored on our servers.
- Communications: messages you send us through the contact form or by email, and messages posted in Platform chat rooms and committee inboxes.
- Content: pages, posts, publications, forms and files uploaded to a Society's site.
2.2 Information collected automatically
- Log data: IP address, browser type, operating system, referring URL, pages visited and timestamps.
- Device data: device model, operating system version and app identifiers when you use our mobile app.
- Usage data: features used, session duration and error logs.
- Cookies: used for sign-in, preferences and analytics. See Section 7.
2.3 The Parishad mobile app
- Camera and photos: used only when you choose to take or attach a picture — a profile photo, an expense receipt, meeting minutes or a publication cover. The picture is uploaded to your society's account; we do not access your photo library otherwise.
- Files: documents you choose to attach (for example a PDF receipt or minutes) are uploaded to your society's account.
- Notifications: if you allow them, the app registers a push token with your society so it can notify you about messages, meetings, tasks and requests. You can turn notifications off in your phone's settings or per committee in the app.
- Sign-in: your sign-in tokens are stored in your phone's secure storage and are removed when you sign out.
- Payments: the app does not take payments or store card details. Payments, where offered, happen on your society's website.
- Account deletion: you can request deletion in the app (Profile → Request account deletion) or as described at parishad.app/delete-account.
2.4 Information from third parties
We may receive information from payment processors (such as Razorpay, Stripe and PayPal) about the outcome of a payment, and from partner services a Society chooses to connect.
3. How We Use Information
- Provide, operate and improve the Platform.
- Process payments and send receipts, invoices and membership confirmations.
- Send service notices such as renewal reminders, security alerts and support replies.
- Respond to enquiries and requests.
- Understand usage so we can improve the Platform.
- Detect and prevent fraud, abuse and security incidents.
- Meet legal obligations, including tax reporting under Indian law.
- Send marketing about Parishad, only with your consent. You can opt out at any time.
4. Societies and Their Members
Each Society decides what information it collects from its members and how it uses it. For member data, the Society is the data fiduciary (controller) and Parishadprocesses that data on the Society's behalf. A Society's administrators and committee members can see the member information the Society has given them access to, such as names, contact details, membership status, payment history and form submissions.
If you are a member and have a question about how your Society uses your information, please contact your Society first. We will help them respond.
5. How We Share Information
We do not sell personal data. We share it only:
- With service providers who host, email, process payments or analyse usage for us, under confidentiality obligations.
- With the Society you belong to, as described in Section 4.
- With partners a Society authorises, for example a partner confirming your membership for a member discount. Only the minimum needed is shared.
- When required by law, court order or government authority, or to protect rights and safety.
- In a business transfer such as a merger or acquisition, subject to the same protections.
6. Retention and Security
We keep personal data for as long as an account is active or as needed to provide the Platform. You can ask for your account to be deleted from within the app or by emailing [email protected]. We delete or anonymise data within 30 days of a verified request, except where the law requires us to keep it (for example, financial records under the Income Tax Act, 1961 and GST law).
We use encryption in transit (TLS), encryption of sensitive fields at rest, access controls and regular reviews to protect data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
7. Cookies
- Strictly necessary: keeping you signed in and protecting forms. These cannot be switched off.
- Functional: remembering preferences.
- Analytics: aggregate usage statistics that help us improve the Platform.
You can control cookies in your browser settings. Blocking necessary cookies will stop sign-in from working.
8. Your Rights
Under India's Digital Personal Data Protection Act, 2023 and other laws that apply to you, you may have the right to:
- Access the personal data held about you.
- Correct inaccurate or incomplete data.
- Have your data erased.
- Withdraw consent, including for marketing.
- Nominate someone to exercise your rights if you are unable to.
- Raise a grievance with us, and then with the Data Protection Board of India.
To exercise these rights, email [email protected]. We respond within 30 days.
9. Children
The Platform is not meant for children under 18 without the consent of a parent or guardian. If you believe a child has given us personal data without that consent, contact us and we will delete it.
10. Changes to This Policy
We may update this policy from time to time. We will post the new version here with a revised date and, for material changes, notify Society administrators by email. Continued use of the Platform after a change means you accept the updated policy.
